Assign and Reassign a Case (for OA Managers)

Overview

Outreach and Admissions (OA) Managers are responsible for assigning and reassigning cases to Admissions Representatives in their specific Job Corps Center. Only OA Managers have access to assign, reassign, and transfer cases in MyJobCorps Gateway.

 

Assign a Case

OA Managers can assign a case by performing the following steps:

  1. From the Unassigned tab on the Home view, select the prospect(s) you want to assign by checking the box to the left of the Application Tracking Number. The Assign button on the top right of your screen will turn blue

You can assign cases in bulk to the same Admissions Representative, or yourself, by selecting multiple boxes next to the application tracking numbers from the Home or Search view.

  1. Select the Assign button at the top right of the screen.
  2. Select Next on the bottom right of the Case Details Page.
  3. Select the Admissions Representative you would like to assign to this case.
  4. Select Submit in the bottom right corner.
  5. Select Yes to confirm the assignment.

You can also assign a case using the Actions menu within the prospect’s case.

Reassign a Case

OA Managers can reassign a case by selecting Reassign Case from the Actions menu OR by performing the following steps from the Search view:

  1. From the Search view identify the applicant(s) you want to reassign and select the check box to the left of the Application Tracking Number. The Assign button on the top right of your screen will turn blue.
    Enter the Applicant’s name or Applicant tracking number in the search bar or use other filters to find a specific case easier.
  2. Select a new Admissions Representative from the list or assign the case to yourself by selecting the Assign to Self button.
  3. Select Submit in the bottom right corner.
  4. Select Yes to confirm the assignment.
