This user guide is for the following MyJobCorps user roles: Admissions Representative (AR), OA Manager (OAM), Center Records Manager (CRM), Health and Wellness Reviewer (HWR), Regional Director (RD), Regional Disability Coordinator (RDC), Regional Health Specialist (RHS)

Overview

MyJobCorps Portal is an online admissions system that allows applicants to securely apply to Job Corps and engage with their Admissions Representative. In Portal, applicants can submit application information, upload documents, and sign agreements on a computer or any mobile device. 

This guide will help Admissions staff understand how applicants use the MyJobCorps Portal throughout the admissions process.

Create Portal Account

Create Portal Account (or use existing Login.gov account)

To begin, an applicant must create (or use an existing) Login.gov account to securely access Portal.

Once logged into Portal, applicants will see a list of steps to complete in their To Do list toward submitting their application. As they complete the steps by answering questions, signing agreements, and uploading documents, the items will automatically move to the Completed section. 

Complete Profile

Applicants who are creating a MyJobCorps Portal account for the first time will need to complete this step before moving forward. When an applicant selects Complete Profile from the To Do list, they will be directed to provide basic information like their legal name, contact information, career interests and how they were referred.

Applicants can easily access and update this information by selecting Profile from the drop-down in the top right corner beneath their name.

After completing their profile information, a case is created in Gateway.

Application Questionnaire

When an applicant selects Fill Out Questionnaire from the To Do list, they will be directed to provide information required for determining eligibility.   

  • The application includes sections of questions about education, home life, employment, personal circumstances and more, required by policy to determine eligibility.
  • Some questions have a “Learn More” option to give more information and explain how the information is used.
  • As they complete sections, applicants will see a green indicator next to the section name in the drop-down.

Agreements

When an applicant selects Sign Agreements from the To Do list, they will be directed to the Job Corps forms that require an applicant signature. The Agreements section allows applicants to electronically sign forms that are required for eligibility. Applicants are prompted to check a box to confirm they agree to electronically sign each form with their legal name.

Documents

Documents are found under the Documents tab. Applicants will upload documents required for various parts of their application, such as proof of age, residency, and more. When uploading documents, Applicants will see an option to select specific document categories. From the Documents tab, Applicants can see if a document has been accepted by their Admissions Representative.

Applicants are not required to upload documents prior to submitting their application information.

Submit Application Information

After completing the Account Information, Application, and Agreements, the applicant will select the Review and Submit button.

The Applicant will be directed to the Completed Application Summary, where they can review all the information they provided in MyJobCorps Portal. Applicants should carefully review their Completed Application Summary and make necessary updates before submitting. After their review is complete, they can electronically sign their name and finalize the submission by selecting the Submit button.

Once an Applicant submits their application, a screen clearly displays the next steps for applicants to continue with the admissions process. After the application is submitted, it becomes locked in MyJobCorps Portal. The applicant will not be able to make changes unless their application is unlocked by an Admissions Representative or OA Manager. However, they can still upload additional documents, if needed.

Admissions staff can view items in Gateway only after the applicant has submitted their application information.

Fill Out Health Questionnaire

Applicants will be able to complete and submit their Health Questionnaire (ETA 653) in Portal as part of their application process. 

After they submit their application information, they can work on the health questionnaire anytime, return later to submit, and upload supporting documents as needed. When their questionnaire is completed, they can digitally sign and submit it.

Automated Status Alerts

Applicants can see real-time status updates on their Portal Home view to show where they are in the admissions process and what steps come next.

How it works: 

  • Applicants receive an email notification when their application status changes
  • The Portal Home screen displays an alert showing their current application status and next steps
  • Applicants receive alerts upon:
    • Application submission in Portal (Submission Received)
    • Application verification in Gateway (Connect with Admissions)
    • Pending Arrival application status in CIS (Application Accepted)
    • Application Withdrawal in Gateway (Application Withdrawn)
    • Uploading the Denial Letter in Gateway (Application Denied)

Applicants also receive automated emails based on their workflow milestone or actions you've taken. You can review what messages the applicant has received under the Communications Log.

Help

Applicants can access their assigned AR's contact information and a direct link to the MyJobCorps Applicant Help Center by selecting the Help tab located on the top navigation bar or the Need Help? tab on the side if they have questions on how to fill out their application or need technical support.
