Attempt Initial Contact and Confirm Interest

This user guide is for the following MyJobCorps user roles: Admissions Representative (AR), OA Manager (OAM)

Overview

Attempting Initial Contact is required within 24-hours of a prospect submitting their interest in Job Corps. Prior to contacting the prospect, check their preferred contact method. If you are unable to reach the prospect, log your Initial Contact by creating a Communications Log entry.

Once you get in contact with the prospect, verify their identity and gauge their interest in Job Corps. You can then perform the Confirm Prospect’s Interest action in Gateway.

Understanding the Difference

  • Initial Contact: This is the first attempt to contact a prospect. It's the crucial first step to introduce Job Corps and establish a connection. However, it's possible that you may not be able to confirm interest during this initial contact.
  • Confirming Interest: This step follows successful initial contact, where you gauge the prospect's interest in Job Corps through a more detailed conversation. This includes addressing questions and providing additional information about the program.

Log Initial Outreach

If you couldn't confirm interest or get in contact with the prospect during your first outreach attempt, logging Initial Outreach in the Communications Log is your way of recording that you've met the PRH requirement to make initial outreach within 24 hours.

Confirm Interest

  1. Navigate to the prospect's case and select the Actions menu.
  2. From the dropdown, select Confirm Prospect’s Interest.

4. Within the pop-up, indicate the prospect’s interest, adjust the date and time if needed, and select a communication method. Admissions staff may also add notes with any relevant information.

  • Selecting Confirmed Interested will convert to an applicant case record, both the Confirm Interest and Initial Contact tiles will update on the Summary tab to 'Complete'.
  • Selecting Confirmed Not Interested will remove the case from your Home view and update the case status to 'Withdrawn-Not Interested'.

  1. Once information is entered, be sure to select Save Selection. There will be an “Action Completed” message on the screen. The entry will be displayed in the Communications Log.
