Collect Parent and Guardian Signatures

Applicants under 18 must provide a legal guardian’s contact and email for Job Corps consent forms, which are sent via AdobeSign. Guardians' signature statuses can be managed through the Actions menu. Updates to signatories can be made by unlocking the applicant portal or editing the application. 

This user guide is for the following MyJobCorps user roles: Admissions Representative (AR), OA Manager (OAM)

Collect Parent/Guardian Signatures

Applicants under 18 who are not emancipated must provide their legal guardian’s contact information and confirm the guardian’s email, which will be used to sign Job Corps consent forms. Before submitting the application, the applicant must select a guardian and verify their email in the text box. Once the application is submitted, AdobeSign automatically sends Agreements to the designated guardian for consent.

Only guardian consent for Job Corps agreements are collected when an application is submitted. This does not include Form 653 or additional forms.

Review details of Parent/Guardian Signatures

AdobeSign Signature requests are sent when the application is submitted, so applications submitted before this feature was released do not have one. When you open Manage Parent Signatures on these cases, you will see a message confirming that no signature request was sent by the system. Continue to collect the parent or guardian signature the way you did before, and upload the signed Agreements to the Document Center. 

  1. Select the Actions menu
  2. Select Manage Parent Signatures

  1. In the pop-up, review the forms requiring signature, who they were sent to, and their status. 
    • You can resend or void signature requests and will receive an Alert if a signature request cannot be delivered.
    • Agreements pending signature display Awaiting Parent/Guardian Signature status 
    • Voided or Expired requests display Parent/Guardian Signature Required status
  2. When signed, Agreements update to Accepted

Update Designated Signatory

If the designated signer or their email address needs to be updated, either: 

Have the applicant completes the updates in Portal

  1. From the Actions menu select Unlock for edits on Applicant Portal 
  2. The applicant will complete the updates for Alternative Contacts and confirm the selected signers email address when re-submitting their application.

  1. AdobeSign will automatically send the Agreements to the selected signer(s) for consent on re-submission.

Edit the application in Gateway 

  1. From the Actions menu select Edit Application OR from the Application tab select the Edit Application button
  2. Complete the edits for the Additional Contacts section of the application and Save.

  1. Select the Actions menu and select Manage Parent Signature
  2. From the pop-up, select Resend to send the Agreements to the selected Signatory. 

Agreements will only be sent to the updated email or Signatory when you select Resend in the Manage Parent Signature pop-up. Editing an application alone will not complete the action.

Send a document for e-signature using Adobe

Send required agreements and forms for signature using your Adobe account

  1. Start by downloading the agreement from Gateway.
    • Download the blank form from the Forms tab, or
    • If you need a parent/guardian signature, download the applicant-signed agreement from either the Agreements section of the Documents tab or Application tab in the applicant's case.
  2. In Adobe, open E-Sign then select Request e-signatures.
  3. Upload the form you downloaded from Gateway.
  4. In the Request e-signatures box, enter the name and email of the person who needs to sign. Add additional recipients as needed.
  5. Select Prepare document and place signature or other required fields where needed.
  6. Review the details (recipients, message, reminder settings) and select Send to request the e-signature. 

Once the document is sent, you'll see a confirmation and be able to track the status of the signature from Agreements in Adobe Sign.
