Entering Application Information Manually in MyJobCorps

This user guide is for the following MyJobCorps user roles: Admissions Representative (AR), OA Manager (OAM)

Overview

Admissions staff should use the following manual process to input application information. 

  1. Input the applicant’s information in Gateway
  2. Upload the applicant’s signed agreements and documents in Gateway
  3. Process the applicant in Gateway

Important: Once these steps are started, the applicant cannot use MyJobCorps Portal for any part of the admissions process.

Step 1: Input the applicant’s information in Gateway

  1. Meet with the applicant in person or by phone to collect their information for the application. From the Job Corps Enrollment website, complete the Referral step to create a case in Gateway. 

Notify your OA Manager to assign this case to you to complete next steps.

  1. Using the Actions menu, select Edit Application to input the applicant’s information.

  1. Enter the applicant’s information in the following sections: Account, Basic Information, Additional Contacts, Education, Home Life, Employment, and Personal Circumstances.

Required fields will be indicated with the text ‘Required’ on the Application tab; an asterisk displays the required fields while editing the application.

  1. If you are working with an applicant who does not have a Social Security Number (SSN) or Taxpayer Identification Number (TIN), "Neither" can be selected on the Basic Information tab. When "Neither" is selected, a field will display "Other Temporary Identification Number" and require a nine-digit entry as decided by the AR. This allows applicants without an SSN, like those from U.S. territories or Pacific Islands, to move forward with their application.

Step 2: Upload the applicant’s signed agreements and documents in Gateway

  1. Open the Document Center from the Documents tab to access all the required Agreements and Documents. If application information is complete, the Agreements will have information filled in for the applicant such as their name.
  2. Download each Agreement and ask the applicant to sign the document using a paper copy or by email using Adobe Sign or DocuSign. If you are working with a minor, make sure to collect the required parent or guardian signatures as well.
    You can download a blank copy of each required Agreement from the Forms tab as needed.
  3. Once the Agreements are signed, you need to upload each agreement in Gateway.
  • Within the case, select the Actions menu, then Add New Document.
  • Select Upload and navigate to the document location on your device or drag and drop the file.
  • Indicate the Document Type for each agreement.
  • Optional: Select the Category dropdown and choose Agreements to refine the list displayed in the Document dropdown.

You do not need to upload a document for the Privacy Act Agreement because a signature is not required. It will display as Not Completed on the Agreements tab of the Application, but this will not prevent you from completing the application.

  1. Work with the applicant to obtain their required documents (e.g., birth certificate, form of identification) and upload their documents in Gateway by selecting Add New Document and indicating the Document Type. Select Accepted. Enter any necessary comments related to the document in the Comments field, then select Save.
  2. Once all information is input accurately and the Verify Application checklist is complete, select the checkbox and Verify button on the right side of the Application tab screen to complete the application.

  1. After verifying the application, the Application Information tile on the Summary screen will update to Complete and Verified.

Step 3: Process the applicant in Gateway

After you have verified the application, proceed with the remaining steps for case processing, including:
