This user guide is for the following MyJobCorps user roles: Admissions Representative (AR), OA Manager (OAM)
Overview
When the Readmissions Check is performed, the result provides information to help you identify if the applicant’s SSN is associated with current or historical cases. During this step, you will validate if the applicant has previously been enrolled or separated from Job Corps. If needed, you will be able to initiate a Readmittance Waiver request during this step.
Run Readmissions Check
Important: Before running the readmissions check, confirm that the applicant’s SSN, First Name, Last Name, and Date of Birth are correct.
- Select the applicant’s name from the Assigned Applicants table to navigate to the case.
- Select the Readmissions tab, then select the Check History button.
After selecting Check History, the process may take a few minutes to return previous enrollment data. If this takes longer than 15 minutes or you receive an error message, reach out to the MyJobCorps Help Desk.
When the process is complete, any previous enrollment data will display on the screen, with a system-generated recommendation as to whether the applicant is permitted to proceed or if existing information for the applicant may already exist.
If the Readmissions Check produces results not aligned with the current applicant or highlights another application with the same SSN, you will be able to re-run it following any necessary corrections to the application. Refer to steps in the Validate Application History section before re-running the check.
- Based on the system-generated recommendation, select the appropriate response from the Confirm Result dropdown and save before proceeding to the next criterion.
- If the response is Permitted to Proceed, select the response and select the save button. Proceed to criterion 1.
- If you select Do Not Proceed, select the response and select the save button. This action will direct you to assign the case for QA review. For additional instructions, proceed to the QA Review guide.
- If you select Pending Readmit Waiver Review, follow the steps in the Request Readmit Waiver section.
Once you review previous enrollment, you may move to Criteria 1-3.
Validate Application History
If the readmissions check reveals that the applicant already has a case in progress, OR an application has similar details, complete the following steps:
- Review if the existing applicant is a match and being actively processed by the listed AR. Connect with the AR and/or OA Manager to determine next steps.
- If the applicant is a match, select Confirm.
- Notify the applicant that they already have an active application and continue to work with the listed AR.
- Close out the case by marking it as a duplicate.
- If the applicant is not a match, select Cancel.
- Re-confirm the applicant’s SSN (edit the application to update, if needed) and re-run Check History.
When reviewing Readmissions, Gateway will flag if a background check has already been requested and prevent further submissions within 120 days.
You will not be able to override this system indicator. The Eligibility 4 screen will be locked until either the original case has received the background check result or the SSN on the case has been updated or edited (if a mistake was made when entering).
If you receive the Background Check Request Not Available banner:
1. Re-Run the Readmissions Check to identify which AR has the case and then connect with the AR and/or OA Manager to determine next steps.
2. If the other AR is proceeding with the case, mark your case as a duplicate to close it out.
Readmit Waivers

Request a Readmit Waiver
When the readmissions check returns a result that says an applicant requires a readmit waiver from the Regional Director, follow these steps:
- If you are an Admissions Representative, you will submit a request for Readmit Waiver review to your OA Manager.
- Select Pending Readmit Waiver Review in the Confirm Result drop-down menu.
- Select Request Waiver Review. You can enter notes and upload documents, if needed.
- Adding Requester Notes generate a Communications Log entry.
- Submit the request.
- After submission, the case moves to the Search view.
- While the readmit waiver is pending approval, you can process Eligibility Criteria 1-3, but you cannot request a background check until the waiver is approved.
- You will be notified of the approval or denial, along with any documents, if applicable.
- If approved, the Confirm Result drop-down option will automatically update to Permitted to Proceed. You can request the background check.
- If rejected, the Confirm Result drop-down updates to Not Permitted to Proceed. Submit the case for QA review and continue with the denial process. See the Notify an Applicant of their Eligibility Result guide for additional guidance on the denial process.
Review Readmit Waiver Requests
As an OA Manager, you will need to review all Readmit Waiver Requests before they are routed to your Regional Director.
- From your Home view, select the Review Requests tab.
- Select the case from the Readmit Waiver Concurrence Requests table.
- Review the details of the request, the case, and Readmissions Check results.
- Select the Perform Readmit Waiver Review button in the banner.
- In the popup, indicate concurrence or rejection of the request then provide any additional details.
