Overview
When an applicant is assigned to the selected Job Corps center, you can monitor the case's status as it progresses through the Applicant File Review (AFR) process in Gateway.
Monitor a Case during Applicant File Review (AFR)
While the case is pending applicant file review through their arrival at center, monitor the applicant's status from the case. You will receive status updates until the applicant arrives at the center.
Easily view status by checking the following:

Applicant Case: Monitor the case's progress from the applicant’s case using the Wellness tab, the Enrollment tab, and the Summary tab.

Summary tab: A yellow banner across the top of the page will display the case status from the Center Information System (CIS). Select the Refresh Center Status button to check for real-time updates.

Search: Use the Search view to monitor the Workflow Milestone and Center status
- Filter the Workflow Milestone to Center Assigned. Review the Center Status column.
- Reporting: Run the Pending Arrival Report to review Center Status and if a pending arrival date has been provided.
Cases Returned to Admissions
If the center returns the case to Admissions, you will receive an alert in Gateway. This will also create a new entry in the Communications Log with the reason for the return.
View the case on your Home view by selecting the Returned by Center tab at the top.
- Make the necessary revisions, including uploading new supporting documents.
- Resubmit the case through the QA Review process.
- After completion, reassign the case to the center (or to another agreed upon center if selected during revisions.) Only new documents will be sent E-Folder for center review.
Recommendations for Denial
If the center recommends denial, the case will route to the Regional Disability Coordinator (RDC) to initiate the Regional Review process. Only the Regional Director (RD) can approve or reject the Recommendation for Denial.
- If the Regional Director approves the recommendation for denial, the case is placed in "Rejected by Region" status and closed in MyJobCorps. The Regional Director will send the Denial Letter to the applicant. No action is required by Admissions in MyJobCorps.
- If the Regional Director rejects the recommendation for denial, the case is returned to the center and placed in "Pending Center Review" status. The center will proceed with enrollment. No action is needed by Admissions.
