This user guide is for the following MyJobCorps user roles: Admissions Representative (AR), OA Manager (OAM), Center Records Manager (CRM), Health and Wellness Reviewer (HWR), Regional Director (RD), Regional Disability Coordinator (RDC), Regional Health Specialist (RHS)

Overview

The Eligibility tab is where you determine whether an applicant meets the criteria to enroll in Job Corps. It unlocks after performing the Readmissions Check.

The following information will help you get to know the layout and steps involved in processing eligibility in Gateway.

 

Eligibility Tab

Eligibility criteria are organized in an ordered list in which it appears in the Job Corps Policy Requirements Handbook (PRH). 

Criteria will become available for review based on your eligibility assessment. 

To begin, you select an eligibility criterion from the table to assess.

You can select back to previously completed criteria to review content or make updates to selections. 

Eligibility Criterion Details

When you select a criterion to review, you will see: 

  • A navigation bar on the left 
  • The Preliminary Eligibility result in the middle section of the screen. Depending on the criterion you are reviewing, there may be additional applicant responses the AR must collect and validate, Criterion Questions you need to review with the applicant, AND/OR Observations of Readiness of questions.
  • Documents related to the criterion at the bottom of the pop up. You can confirm if the document has validated or determine if additional supporting documents are required. Refer to Manage Documents for how to review, update, and upload documents.
  • The Confirm Criterion Result dropdown where you confirm the applicant's eligibility for the criterion.

Preliminary Eligibility Results

Gateway automatically generates the Preliminary Eligibility results based on both the applicant’s responses in Portal and any relevant information you entered in Gateway. You will see the following:

  • INCOMPLETE as a preliminary result indicates you will need more information from the applicant before moving on, such as answering additional questions, uploading supporting documents or signatures on required forms. The dropdown will remain will be greyed out until information is provided, restricting you from overriding the result.

  • MEETS: applicant meets selected Eligibility criteria
  • DOES NOT MEET: applicant does not meet selected Eligibility Criteria
  • Not Applicable: Eligibility Criteria does not apply to the applicant. You will mark the criterion as Eligible.

Eligibility Criterion Determination

You must validate each eligibility criterion by selecting an option in the Confirm Criterion Result dropdown located on the right side of the page.

  • If an applicant meets the Preliminary Eligibility, you will select either:
    • Confirmed Eligible: applicant meets eligibility criteria.
    • Confirmed Eligible with Provision: applicant meets criteria but needs an age or income waiver on Eligibility Criteria 2 or 3.
  • If an applicant does not meet the Preliminary Eligibility, you will be unable to override this determination and will need to select:
    • Confirm Not Eligible: Applicant does not meet eligibility criteria
  • If the applicant has Expedited status, you have an additional option to select:
    • Conditionally Eligible: if supporting documentation is unavailable for the criterion and the applicant is self-attesting to the validity of the information provided. See the Process Expedited Enrollment user guide for more information.

After you confirm the Eligibility Determination for the criterion, select Save before moving on.
