Looking Ahead: MyJobCorps 3.5 System ReleaseGet ready for new system features coming later this Spring! Admissions staff can expect enhancements to the Home view, including new tabs to quickly view Pending Arrivals and for OA Managers to easily access unassigned cases. Other updates include allowing Admissions Staff to send new documents to E-Folder after a case has been assigned to center and making Gateway access available to Records Staff. |
MyJobCorps System Features: Reminders & Tips

- Understanding the Background Check Process: MyJobCorps has received many questions about background checks, which are essential and required during the admissions process. A new Help Center article outlines important information that all Admissions Staff should know about the background check process, including common questions around background check timing, corrections, and reconciling inconclusive background checks. Identifying and Taking Action on Duplicates: Duplicate cases may occur when a young person submits an Express Interests Tool (EIT) multiple times with the same first name, last name, email, and date of birth. In a duplicate case scenario, the OA Manager should address the duplicate before assigning the case. Please note:
- If a duplicate Express Interest Tool (EIT) is submitted within one minute of a previous EIT submission, the duplicate will not appear as a case in Gateway.
- If a duplicate case is created within 14 days of the first EIT, it will be automatically closed. The case status will be updated to “duplicate”, and it will appear in the All Cases tab.
- The case status will be updated to duplicate, and the case will appear in the All Case tab.
- You will be able to access all duplicate cases from the All Cases, but they will not appear on the Home tab.

- Reviewing Documents: Documents uploaded by applicants in the Portal must be reviewed and accepted by Admissions Staff. This step ensures documents satisfy eligibility criterion requirements and are legible. For additional guidance, review the Manage Documents Guide.

Below are important reminders for OA Managers.

Staff Onboarding Guidance: Center staff must submit a request for the MyJobCorps account prerequisite via the ID Auto Form. If you experience any issues, reach out to the JCDC TAC at helpdesk-jcdc-tac@jobcorps.org. Once the ID Auto request is processed, you can request the MyJobCorps account through the Contact Us form.
- Encourage new staff to complete review of the MyJobCorps Self-Paced Training Guide in the LMS (accessible in Citrix) before attending an upcoming training.
Staff Offboarding Guidance: If a staff member is leaving Job Corps, please re-assign all cases and notify the MyJobCorps team of the departure through the Contact Us form to ensure their account is deactivated.
Pet of the MonthGeorge is Nanette Brissette’s (Pinellas County JCC) 1-year-old French Bulldog who loves going for walks and snacking on blueberries, carrots, and Sam’s Club rotisserie chicken. George and Nanette are the best of friends, and the only thing George loves more than walking and snacking is being Nanette’s shadow. MyJobCorps at Your Service
Upcoming System Maintenance: For awareness, MyJobCorps will be under maintenance in support of the JCDC database migration during certain weekends in March. You will receive an email, and a notification will be posted in Gateway with dates. Functions such as Readmissions Check and Center Assignments will be impacted. Please avoid using the system during these weekends.

- Office Hours: Get your questions answered about MyJobCorps functionality, system usage, and best practices to help you process cases. There are three upcoming Office Hour sessions. Click on the one you would like to attend to register.
Bi-Monthly Training Series: Thank you to those who attended the February Bi-Monthly Training Series for Admissions Staff. 125 attendees, representing 37 centers, engaged in the dedicated session for new Admissions Representatives. Registration for the April sessions will be available soon!
