Celebrating One Year of MyJobCorps
This month marks one year since Job Corps rolled out MyJobCorps nationwide to all 121 Job Corps centers, digitizing the application process and streamlining the admissions process across Job Corps centers. Your meaningful partnership with the MyJobCorps team has helped us to make incredible achievements in modernization and accessibility for prospective applicants and Admissions staff.
Let’s take a look back at our journey through the seasons!
Summer 2024
In the heat of summer, we onboarded all Job Corps centers across six regions onto MyJobCorps! Countless applicants, nearly 1,000 Admissions staff, and over 100 Federal staff became MyJobCorps users – marking the shift from a legacy, paper-based process to a fully digital application and admissions experience.
- Early Adopters – Ahead of the full rollout, the MyJobCorps team partnered with Early Adopters to run through dozens of test scenarios, which contributed to system workflow and integration improvements. Thank you to our Early Adopters – Bamberg JCC, Chicago USDA, Grafton JCC, Laredo JCC, Los Angeles JCC, Philly USDA, and Potomac JCC!
- Phased Rollout – We phased the rollout of MyJobCorps into four regional groups so that users were onboarded gradually with regular opportunities to attend training and get support.
- Help Centers Go-Live – We launched the Applicant and Gateway Help Centers - complete with videos, guides, a chatbot, and other tools to help users navigate the new system.
- Center Visits – After rollout, the MyJobCorps team visited six Job Corps centers to learn from Admissions staff what was working well within the system and what could be improved in future releases. Thank you for these engaging sessions and your hospitality!
Fall & Winter 2024
You asked, we delivered! During fall and winter, we bundled up MyJobCorps with exciting new features that were inspired by your feedback and new policies.
- Expedited Enrollment Policy – MyJobCorps was updated to reflect the new Expedited Enrollment policy, serving applicants experiencing homelessness, severe forms of trafficking, or natural and/or man-made disasters.
- Admissions Feedback – Through our engagement series, we made improvements to MyJobCorps to improve automation and make enhancements to Readmissions, Documents Center, Email Alerts, Communications Log, and the Pending Arrival report.
- Automated email Alerts: Applicants began receiving automated emails as they progressed through their application. Some confirmed completed actions, while others reminded them to take the next step. These alerts kept applicants on track and reduced reliance on Admissions staff for updates, helping to automate communication and improve the overall experience.
- Mobile-friendly design- We learned that >90% of applicants submit their applications from a phone. To optimize that experience, we introduced a mobile-friendly design with a clear To-Do List. Applicants can easily see what they’ve completed and what is left.
- Retiring OASIS – With your help, we’ve fully transitioned from OASIS to MyJobCorps.
Spring 2025
The new year brought new enhancements to MyJobCorps for improved user experience and performance.
- Integration Improvements - We improved re-admissions checks, updated the integration with the Job Corps Data Center (JCDC) environment, and improved the speed of transferring cases to the Center Information System (CIS) for center assignment.
- View Center Status from CIS: When a case is assigned to a center, it is transferred to a separate system (CIS) that Admissions staff don’t have access to. Previously, staff had to contact the center for updates. We added a banner in MyJobCorps showing the application status during the file review process, with a refresh button for real-time updates. This gave staff immediate visibility into center progress without extra outreach.
- Document Center Improvements - We reorganized the Documents tab so files were grouped by eligibility criterion, making it easy to see whether each required supporting document was provided. Status indicators (e.g., Verification Required, Parent/Guardian Signature Required, Accepted) were added to improve tracking and support QA reviews. This gave staff and OA Managers a clearer view of what was included and what was missing in each application.
- Onboarding CORS - Contracting Officer Representatives (CORs) were onboarded onto Gateway to provide oversight for the OA Provider operators. They can better support OA by easily and independently accessing cases and addressing actions for readmit waivers, recommendations for denial, and customer service requests.
- Gateway Refresh - The Gateway home view was updated to automatically group cases together based on their status in the process, making it easier to navigate and identify necessary steps to support prospects and applicants. The Gateway home view update also made it so applicants’ contact information and preferred contact methods would be displayed and offered enhanced sorting and filtering capabilities. This reduces the need for custom filtering, makes it fast for staff to find specific cases, and helps staff digest large volumes of cases more easily
Summer 2025
This summer, we made applying to Job Corps simpler and clearer, while giving Admissions staff better tools to manage cases efficiently. These improvements reduced duplicate cases, focused attention on applicants ready to enroll, and simplified the Portal experience. We also introduced a new Tasks feature in Gateway that helps Admissions staff track and resolve Constituent Issues faster, while giving Federal staff better visibility to monitor these concerns.
- Expressing Interest Now Happens Inside the Portal: After creating a Portal account, applicants complete their Profile to express interest, which creates cases directly in Gateway. This shift cut down duplicates, reduced case volume, and brought more qualified applicants into the system.
- Improved Portal Experience: We redesigned the landing page with clear options for self-applicants and referrals, added FAQs and updated videos, introduced real-time status alerts, and enabled signing of key agreements within the Portal. These changes improved communication and reduced manual tasks for Admissions staff.
- Online Management of Admissions Constituent Issues: Applicants can now report Constituent Issues online, and Admissions staff can efficiently track and resolve them using a new Tasks feature in Gateway. This also gives Federal staff better visibility to monitor issues and ensure timely follow-up.
- New Reports to Improve Case Management: We introduced three new reports - Arrival Details, Completed Waivers and Denials, and Constituent Issues Reports - that give Admissions staff clearer insight into applicant activity, arrivals, and waiver or denial decisions. These reports help staff prioritize work and make data-driven decisions faster.
