Manage Tasks

Overview

Tasks are assigned actions or work items that help you stay organized and keep track of what needs to be done. They can represent different types of work or follow-ups that require your attention or action. You can access Tasks anytime by selecting Tasks in the left navigation menu of MyJobCorps Gateway. Job Corps federal staff can access, monitor, and comment on Tasks for the Admissions Providers they oversee. 

 

Navigate Tasks Dashboard

The Task Dashboard displays four summary categories showing totals of your assigned tasks:

  • Total Tasks: All tasks assigned to you or your team 
  • No Activity: Tasks without recent updates 
  • Due Today: Tasks that require attention today 
  • Overdue: Tasks past their due date

Above the dashboard, you’ll find buttons to:

  • Change Task Owner: reassign tasks to yourself or others
  • Change Task Status: update the progress of tasks

Below the dashboard, the Task Table displays a detailed list of all tasks

Use the search bar for quick task lookup and filters for Task Type, Task Status, Due Date, Created Date, Owner, and Admissions Provider to help find specific tasks.

Task Actions

Assign Tasks

Role: OA Manager

New Tasks are added and aligned to your queue for resolution. As an OA Manager, you will view and assign the task, either to yourself or one of your Admissions Representatives.

Only the Task Owner can change the Task Status.

  1. Review the details of the task, to determine who the task should be assigned to by selecting the Task ID.
  2. From the task dashboard, select the box to the left of the Task ID. The Change Task Owner button will turn blue.
  3. Select Change Task Owner. You can either type in the email address of the AR you’d like to assign the task to or select Assign to Self.
  4. Select Save then Confirm.

Add Comments to Task

Role: All Users

Users aligned to an Admissions Provider, including Regional Directors (RD) and CORs, can view and comment on a task.

  1. Select the Task ID to open the Task Details view.
  2. Select Add Comment and enter any necessary notes or updates related to the task in the comments field.
  3. Select Submit to save your comment, along with your name, your role in Gateway, and the date.

Update Task Status and Description

Role: Task Owner (OA Manager/Admissions Representative)

Only the Admissions staff assigned to the task will be able to edit the task’s description and status.  

You can update the Task Status from the Task dashboard and Task Details view, while the task’s description can only be edited from the Task Details view.

To update the Task Status from the Task Dashboard:

  1. Select the box to the left of the Task ID. The Change Task Status button will turn blue.
  2. Select Change Task Status
  3. Select the new status from Edit Task Status dropdown.  
  4. Select Save.

To update the Task Status or Description from the Task Details view:

  1. Select the Edit button.
  2. Update the Task Status by selecting the dropdown. Update the Description by adding information to the text box.  
  3. Select Save to update the task.

Once the Task Status is marked as Completed, it will be removed from the Task dashboard. 

 

Resolve Constituent Issues

Constituent Issues are received from the National Contact Center (NCC) and the MyJobCorps Applicant Help Center, and created by the MyJobCorps Help Desk, and assigned to the respective Admissions Provider. 

  • Constituent Issues are due within 1 business day. 
  • Review the Source column to know if it was provided by NCC or the Help Desk.
  • Refer back to Completed Constituent Issues from the Constituent Issues Report

Resolve Constituent Issue Tasks

  1. OA Manager: Review the Task Details and assign the task to the AR or yourself.
  2. AR or OA Manager: Add any relevant comments while the task is being addressed and update the status of the task.
  3. Once the Constituent Issue is marked as Completed, it will be removed from the Task dashboard. 

Handle Background Check Corrections

Background Check Corrections are automatically created when JACS detects a background check containing incorrect information (e.g., name, SSN, date or place of birth):

  • Gateway will create an automated task; the assigned AR and OA Manager will receive an email notification.
  • Details for the required corrections, provided by JACS, can be viewed from either the Task Dashboard OR Eligibility Criterion 4 (EC4) screen. 
  • Admissions staff should complete background check corrections outlined below within 48 hours upon notification to prevent excess processing costs and delayed admissions.

Handle Background Check Correction Tasks

When a background check correction is needed, a task is created and assigned to the Admissions Representative (AR) assigned to a case. OA Managers and AR’s are notified on the Tasks Dashboard and in an email

  1. Go to your Tasks page to locate the Background Check Correction task.

  1. Click on the Task ID to open the task.
    1. Review the information in the Description box and update the Status to In Progress.
    2. Now that you know what corrections need to be made, click on back to Tasks located at the top of your tasks page to navigate back to your tasks main page, and click on the case’s ATN number (e.g. 100012421) to open the case from the task page.

You can also open the case from the Search or Home view.

  1. Make the corrections indicated in the Task Description from the background check correction Task.
    • If you need to correct the SSN, navigate to the Documents tab, click on Social Security Card, and make the correction(s) to the social security number on the Social Security Card Document Details page.
    • If you need to correct the applicant’s information such as First Name, Middle Name, Last Name, Birth City, Birth County, or State or Territory of Birth, click on Edit Application on the Application page or in the Actions Menu on any page. Make the appropriate changes and click Save & Continue.

  1. Return to the Tasks Details view and select Add Comment to detail your edits to the case.
  2. Notify your OA Manager to open the Task in their Tasks page and review the updates you made to the task and case.
    • If the OA Manager approves your updates, they should click on Verified by OA Manager. After this, you can change the Status to Completed and click Save.
  3. When Step 5 is complete, go to the Eligibility tab and click on Criminal Background Check to update the background check request.
    1. Provide a description of the corrections you made in the comment box.
    2. Select the Update Background Check button.

Your updates will automatically sync with the JACS system, and the background check process will continue, which will return a result in the Background Check Determination box. 

 IMPORTANT: You will not be able to resubmit the background until the Task is marked as Completed.
