Application Process Improvements
- Added two new required agreements for applicants to sign before submitting their application: the Consent for Pre-Enrollment Interview and the Right to Use Photographic Likeness or Moving Images Release Form.
- Streamlined the application process for applicants starting their own applications (non-referrals) by requiring the Profile section immediately after account creation and removing the old Express Interest Form, with those fields now secured behind Login.gov.
- Added new automated status updates on the applicant dashboard so users can track their application progress throughout the admissions process.
- Enhanced the application experience for Military Transition Assistance Program (TAP) referrals by adding questions about military service to better determine Veteran eligibility.
- Added a Preferred Email Address option so applicants can provide a separate email for MyJobCorps notifications, different from the one used to create their account.
System Performance and Technical Updates
- Improved system performance behind the scenes to make the Portal faster and prepare for future features.
- Updated the system to transfer applicant information more smoothly between MyJobCorps and CIS.
- Upgraded Help Center tools to improve speed and performance when assisting users in the Portal.
Design Updates
- Redesigned the MyJobCorps Portal landing page (enroll.jobcorps.gov) to provide clearer instructions and highlight the new streamlined application process.
- Introduced a new “How It Works” instruction panel on the Portal dashboard, allowing applicants to review the application steps at any time.
Gateway
Case Processing and Review Enhancements
- Added new dashboards for Regional Directors with tools to track Readmit Waivers, Pending Regional Reviews, and Quality Assurance (QA) Reviews.
- Improved the CRM Home View by adding tabs for key tasks like Center Review, Anticipated Arrivals, Regional Review, Returned to Admissions, and Denial Recommendations.
- Improved document handling with better visibility into document rejections and status updates, including new AFR-specific forms in the document repository.
- Introduced real-time reports and notifications to help users monitor and respond to constituent issues as they happen.
- Expanded task management tools with new Task Views for Constituent Issues and upcoming tasks, plus the ability to add comments and track actions on tasks.
System Accuracy and Data Improvements
- Separated the applicant’s Login.gov username and email data field to allow admissions staff and applicants to request contact on their preferred email address.
- Improved data accuracy across applicant profiles, milestones, TAP Office referrals, and clarified display of contact versus login emails.
- Refined eligibility checks and center assignment logic to ensure accurate placements and eliminated unnecessary system updates.
- Synchronized Student ID values between MyJobCorps and other systems to improve consistency.
- Enhanced default handling and system behavior for applicants under 18.
- Updated consent and agreement processes to automatically set agreement statuses, especially for minor applicants.
Reporting Enhancements
- Added new reports to the Gateway system, including Arrival Details, Completed Waivers and Denials, and Constituent Issues Reports to help staff track case progress and trends.
Bug Fixes
- Ensured document status updates properly so applicants can now see when documents are accepted or rejected in the Portal.
- Resolved document upload errors by preventing large filenames from blocking document ingestion in Gateway.
- Fixed education information saving issues so applicants selecting "Did not complete high school" or "Still attending" will have their responses saved correctly.
- Restored access to Path B Employment Interest Tool submissions so applicants can review their information after login.
- Resolved profile submission errors allowing applicants to complete their profile without receiving an internal server error.
- Ensured Tap Office selections from applications are now properly sent to Gateway for processing and routing.
- Prevented special characters in document names and IDs to avoid upload failures or processing delays.
- Corrected status display for duplicate cases so cases marked as duplicates no longer appear as Open.
- Fixed incorrect status labels on case summaries to accurately reflect when an applicant is marked as "Confirmed Not Interested."
- Ensured "Have Children" responses transfer correctly to Gateway, even when "No" is selected.
