Portal
New Features & System Updates
- Applicants with closed applications can reapply to Job Corps using their existing Login.gov account credentials, eliminating the need to create multiple accounts.
- Applicants can reopen withdrawn or inactive applications within 90 days, preserving all prior progress. After 90 days, the case will close, and the applicant will be able to reapply.
- The Informed Consent to Receive Mental Health and Wellness Treatment agreement was digitized, allowing applicants to sign directly in Portal.
- The To Do list was updated to replace the green checkmark for deferred documents with a new indicator and moved those items to the Completed section.
- The “Need Help” tab was updated to display OA Provider contact info and Admissions Representative name, email and phone number once assigned.
- Logic was to require applicants under 18 (unless emancipated, married, or unaccompanied) to provide parent/guardian contact information.
- New I-9 document types were added to meet Proof of Residency/Citizenship documentation requirements.
- The “Is English your first language?” and “Can you speak any other languages?” questions were removed from Basic Information as there is no need to collect this in addition to the existing Preferred Language question.
- The existing SSI/SSDI option was split into two separate selections within the Public Assistance Personal Circumstance section.
- The “I receive Social Security Benefits” option was removed from the Personal Circumstances page.
Technical & Performance Improvements
- Google Analytics was implemented in the Portal to track key events.
- JCDC Check History performance was improved by adding a configurable timeout, retry mechanism, and graceful fallback process. This is to mitigate the existing performance issues experienced in JCDC.
- The backend was upgraded to Apollo Server v5 to improve system performance, reliability, and support for future features.
- New serverless Lambda functions were implemented for faster integration with Gateway including case assignment to OA staff, addition of new OA staff and updated phone number, and case transfer to a new OA provider.
- Drupal was upgraded to version 11.1 to improve security, performance, and compatibility with future Portal features.
Gateway
New Features & System Updates
- Applicant History tab was added to display a previous application from the same applicant.
- A Social Security Number verification step was added, requiring Admissions staff to match the SSN from uploaded documents, with override options updating the Application record.
- A guided “Verify Application” checklist was added on the Application tab to guide Admissions staff through required verification steps and enable accurate confirmation.
- The Job Corps Informed Consent to Receive Mental Health and Wellness Treatment was added to the Agreements section of the application tab with status of the agreement included.
- The OA Manager’s Unassigned queue was updated to include reopened applications from the Portal, with an indicator showing which cases were reopened.
- Validation messages were added for applicants nearing 25 years of age and/or the maximum number of months enrolled.
- Staff view was expanded to show assigned Admissions Representative and OA Provider contact info, allowing staff to manage phone numbers.
- OA staff assigned contact information was added to the case summary screen.
- Assignee contact information was added from the clickable Assignee Profile Info Panel in the case summary screen in Gateway, so users can select the assignee’s name to display contact information.
- Admin Panel tools were added to delete, add, and modify training programs - including details, ETAR codes, industry, and center status.
- Gateway was updated to automatically mark cases as “Inactive” after defined inactivity periods (45 days for Prospects, 60 days for Applicants).
Bug Fixes
- Display of preferred email across Gateway was fixed, ensuring it now appears correctly on the Prospect screen, home views, Search results, and Application Summary.
- The EC4 Inconclusive Results modal was fixed so that selecting a new result and clicking “Cancel” no longer saves or updates the Criterion Result.
- The Naturalization Certificate was added as a document type in Gateway.
- EC4 was fixed so resubmitting a background check resets previous results.
- The Form 653 download was fixed so that 'yes' answers from the Health Questionnaire now correctly populate for General Health (#3) and Oral Health (#1a).
- The Summary page was fixed so that the Eligibility title now unlocks correctly after confirming interest, allowing staff to proceed with application review.
- The Constituent Issues Report was fixed by updating the Status column to display Not Started/In Progress and added Excel export functionality.
- The Unassigned tab was fixed so that cases remain visible after Confirm Interest is completed, preventing them from being incorrectly removed.
- System-generated notification emails were fixed so that all AR and OA emails now hyperlink the ATN.
- The “Cancel Waiver” button was restored in the Readmissions workflow for AR, OA, and RD users.
Technical & Performance Improvements
- Gateway performance was improved by eliminating the need for page refreshes in multiple areas.
