Health Questionnaire — Portal Self-Service
- Applicant Submission via Portal: After submitting their application in Portal, applicants now see a "Fill Out Health Questionnaire" task card and can complete the ETA 653 Health Questionnaire directly without AR assistance. Completed responses are automatically ingested into Gateway.
- AR Unlock Action: Admissions Representatives can now unlock a submitted Health Questionnaire from the Actions menu, returning it to the applicant in Portal for corrections and re-signature.
- Verify Health Questionnaire: A new "Verify Health Questionnaire" checklist has been added to the Health tab, similar to the existing Verify Application step. ARs must confirm all fields are complete before the tile is marked complete.
- Health Questionnaire Status on Home View: The Applicants home view now includes a "Submitted Health Questionnaire" column (indicator) and a corresponding filter to assist Admissions in identifying applications with a submitted health questionnaire.
Legal Guardian Designation: Portal’s Additional Contact page will request and collect information about legal guardian status for secondary contacts.
Driver's License Number and Expiration Date Collection: Portal's Basic Information page now collects a Driver's License Number (alphanumeric, max 15 characters) and Expiration Date when an applicant indicates they have a valid U.S. state or territory-issued license
Gateway
Applicant File Review (AFR) Workflow in MyJobCorps
- Applicant File Review process is transitions from CIS to MyJobCorps. AFR in Gateway will streamline admissions and center processes, document management and collaboration between OA staff and centers
- New AFR Tab & Enrollment Tab: Once a case is assigned to a center, a new "Applicant File Review" tab and "Enrollment" tab appear in the case navigation and remain permanently visible throughout the case lifecycle.
- 6-Step Sequential Workflow: Center and Regional users now follow a guided workflow within the AFR tab. Step 3 and 4 are optional if regional review is not required: (1) Health and Wellness Review (2) Health and Wellness Recommendation (3) Regional Review (4) Regional Decision (5) Plan for Arrival (6) Arrive Student. Each step drives milestone updates and surfaces the appropriate action buttons based on the outcome selected.
- AFR Status Timeline: A horizontal milestone timeline displays at the top of the AFR and Enrollment tabs, showing the current position of the case across all AFR milestones — from Center Assigned through Enrolled or Denied.
- New Center Role Home Views: Dedicated home page tabs have been added for new AFR roles to track work queues. Center Record Managers (CRM) and Health and Wellness Reviewers (HWR) see "Pending Center Review," "Returned to Admissions," “Regional Review” and "Pending Arrivals" (CRM only). All queues are searchable by ATN, Name, and AIN.
- Health & Regional Document Management: HWDs and CRMs can upload AFR documents categorized as "Health" directly from the AFR tab.
- CIS Create Student Integration: Once a CRM completes the Arrive Student step, Gateway transmits a student creation request to CIS including the arrival date, anticipated arrival date, enrollment date, and AFR-specific arrival status codes.
In-App Alerts System
- New Alerts Infrastructure: Gateway now delivers in-app alert notifications to Admissions staff (ARs and OA Managers), reducing reliance on email for case event tracking. Alerts are associated with the case (ATN) and are inherited by newly assigned staff when a case is reassigned.
- Alerts Introduced in 4.0: The following events now trigger in-app alerts: Background Check Result Received, Background Check Corrections Needed, Case Reassigned, Applicant Contact Information Updated, OA Manager Requested Revisions, and Applicant Document Uploaded in Portal.
Minor Fixes and Updates
- Readmit Waiver Email Update: The email sent to Regional Directors for readmission waiver requests has been updated with a new subject line ("Action Required: New Readmit Waiver Request") and a revised template.
- Expanded Case Search: ARs and OAMs can now search for cases using a preferred email address or alternative phone number from the Home and Search views.
- Form 652 PDF — EO Compliance Updates: Per DOL Guidance 25-005, the Form 652 (Pre-Enrollment Assessment Record) PDF template has been updated to remove the Gender Identity, Pronouns, and Ethnicity fields, and to rename the "Race" field to "Race/Ethnicity."
- Temporary ID Number for Applicants Without SSN or TIN: Gateway's Edit Case flow now supports a third identification option “I have neither an SSN nor a TIN" with a temporary Other Identification Number field. This accommodates Pacific Islander applicants at Hawaii Job Corps.
