New Features & Major Enhancements

Background Check Refactor

  • Eligibility Criteria Availability Change: Eligibility Criteria 1-10 will be accessible once the readmissions check has been completed.
  • Dedicated Background Check Page & Tab: The background check process is now separated from EC4, with a new tab and page providing a comprehensive checklist, request tracking, and detailed status for each applicant. This includes a new “Requests” table, which will include background checks from other cases that share the same applicant ID, tracking number details, and corrections needed workflow.
  • Background Check Corrections Needed Task Automation: When Background Check Corrections are required, a dedicated section on the Background Check Page will appear and automated reminders (alerts and emails) ensure timely completion and transparency. Upon completion of the Background Check Corrections task, the background check corrections will automatically be submitted to JACS.
  • Auto-Refresh & UI Improvements: The background check page now auto-refreshes after actions, reducing confusion and improving user experience. 
  • Proof of Identity documents: JACS will have access to these documents when a correction request is resubmitted. 

SSN/TIN Verification & Update Overhaul

  • Deliberate Verification Actions: SSN/TIN verification is now a distinct action, Verify SSN/TIN or Update SSN/TIN action, decoupled from verifying the SSN in the document center. Only assigned ARs/OAMs can verify or update SSN/TIN, with clear modal dialogs and validation.
  • Proof of Social Security Document Update: A Social Security Card and W-2 document can be used to validate a SSN/TIN.
  • Update SSN/TIN Action Resets Downstream Processes: Updating SSN/TIN automatically resets readmissions checks and eligibility criteria 4, ensuring data integrity.
  • Read-Only SSN Fields: SSN/TIN fields in the application are now read-only, preventing accidental edits outside the designated workflow.

Parent/Guardian Signature & Adobe Sign Integration

  • Automated Parent/Guardian Signature Request: Upon the application submission, an applicant can select a parent/guardian to sign their agreements, and the agreements are sent to the indicated email.
  • Parent Signature Workflow: For minor applicants, parent/guardian signature requests are now managed through a dedicated page, with robust resend/void logic and status tracking.
  • AdobeSign Handling: The system now ingests all AdobeSign events, updating document statuses and case history accordingly.
  • Error Handling & Alerts: Enhanced error handling for signature requests, with in-app alerts for undeliverable envelopes and system errors.

Document Center & Proof of Identity Updates

  • Document Category Consolidation: Proof of Age and Proof of Residency are now combined into a single “Proof of Identity” category, with updated tooltips and document lists.
  • Tooltip & Category Refinements: Tooltips and document categories have been updated for clarity and compliance.

Applicant File Review (AFR) Tracking Log

  • AFR Tracking Log: Gateway will generate an AFR Tracking Log that displays all cases currently undergoing center-based AFR review, enabling real-time monitoring of case progress. The log can be exported to Excel.

Applicant File Review (AFR) Improvements

  • Disability Document Viewing: The Health and Wellness Reviewer can now view disability documents on the Wellness tab when completing their Health and Wellness Review, while CRM role users will lose access to view the contents of these documents.
  • Health and Wellness Reviewer Home Screen Update: The Health and Wellness Reviewer will have a Pending Arrivals tab, similar to the CRM Pending Arrivals home screen, to enable reviewers to track upcoming arrivals and prepare any necessary accommodations for applicants.
  • Center Assignment Update: OA Managers can reassign a case to a different center after it is returned by center. When a case is reassigned, any data entered by the previous center is cleared, and the workflow milestone is reset to Center Assigned.
  • "Extension requested" checkbox: Health and Wellness Reviewers can indicate if an extension request for wellness review was made to the regional office.
  • "File pre-checked" toggle: CRM can now mark a case as completed pre-check of an applicant's file while the case is under Health & Wellness. This indicator is tracked on the "Pending Center Review" home tab. 

User Experience & Accessibility Improvements

  • 508 Compliance: Numerous updates across CRM, HWR, RHS, and RD home views, document modals, and progress bars to improve accessibility (keyboard navigation, screen reader support, color contrast, and table naming).
  • Validation & Error Messaging: Improved validation for fields (e.g., middle name, language, contact info), with clearer error messages and prevention of blank or invalid entries.
  • Reporting & Home Views: Enhanced filters, columns, and export options for pending arrivals, regional reviews, and comms logs.
  • Document UI Enhancements: Improved the document viewer by repositioning the Cancel button for better visibility and updating the Download Document button to make it more clearly identifiable as an actionable button.
  • Edit Training Preference: Users can modify a case’s Top Training Preferences if the case remains assigned to the same center.

Bug Fixes

  • Duplicate Columns & Data Display: Resolved issues with duplicate “Case Milestone” columns, missing or incorrect field displays (e.g., legal guardian, preferred language, document thumbnails).
  • Filtering & Sorting: Fixed bugs in task filters (e.g., “This Month” not showing today’s tasks), arrival detail reports, and comms log sorting.
  • Document Actions on Closed Cases: Edit and delete actions are now disabled for documents in closed, withdrawn, or denied cases.
  • Contact & Application Logic: Fixed issues with additional/secondary contact validation, field clearing, and label consistency across application and review pages.
  • Health & Wellness Tabs: Addressed display issues for health/disability documents, chronic care forms, and behavioral health responses.

Portal

  • Application Withdrawal and Inactive Notifications: Applicants will be notified within the Portal and through an email notification when their application becomes inactive or when their case is withdrawn along with a reason.
  • Validation & Error Messaging: Improved validation for fields (e.g., middle name, language, contact info), with clearer error messages and prevention of blank or invalid entries.
