Applicant File Review (AFR) — Regional Disability Coordinator (RDC) Integration
- New RDC Role and Home View: A new Regional Disability Coordinator (RDC) user role has been added to Gateway. RDC users have a dedicated home view landing page displaying their work queue of denial recommendation cases awaiting administrative review, organized in a "Recommendation for Denial" tab filtered by assignment status.
- Assign RDC Button: RDC users can now self-assign or assign another RDC to a case directly from the Regional Review section. The assigned RDC is reflected in a new Regional Disability Coordinator field on the Case Details page, providing the Regional Director with a clear view of case ownership prior to regional decision.
- RDC Actions in the Regional Review Section: The Regional Review section now supports RDC-specific actions, including the ability to assign a Regional Health Specialist (RHS) for health review, route the case directly to the Regional Director, or return the case to the center for corrections. The "Assign RHS" button is exclusive to the RDC role.
- Updated RHS Routing: The RHS home view now receives cases only after an RDC has explicitly assigned them. Cases no longer appear in the RHS queue immediately upon center submission, aligning the workflow with the correct administrative review sequence.
- RDC Alerts and Email Notifications: RDC users now receive an in-app alert and email notification when a new case is submitted for regional review, ensuring timely awareness of cases entering their queue without requiring manual monitoring.
- Regional Decision New Return Actions: The Regional Director's action dropdown in the Regional Decision section now includes two additional options: "Return to Center" and "Return to Admissions," giving the RD greater flexibility to route cases that require further action before a final decision is rendered.
Applicant File Review (AFR) Center and Workflow Enhancements
- CRM Multi-Center Support: Administrators can now assign a Center Records Manager (CRM) user to one or more centers. CRM users will see all cases assigned to any of their designated centers in their home view work queue.
- CRM Home View Center Assigned Cases: The CRM home view "Pending Center Review" tab now includes cases in the "Center Assigned" milestone awaiting health review, ensuring CRMs have full visibility into newly assigned cases before the HWR begins review.
- AFR Tab Renamed to "Wellness": The "Applicant File Review" tab label within a case has been renamed to "Wellness" to better reflect the scope and purpose of the center-facing review workflow.
- Student ID Displayed in Enrollment Tab: The Student ID generated in CIS when a case is assigned to a center is now displayed in the Enrollment tab under the Student Information section, providing center staff with quick access to the CIS identifier.
JCDC Integration Updates
- AFR Denial Status Sync and Create Student Payload Updates: Gateway now transmits AFR denial status updates to JCDC in real time as cases progress through the denial workflow. The Create Student payload has also been updated to reflect current AFR-specific data requirements, ensuring CIS records remain consistent with Gateway case state.
- Center Banner Display Fix: Corrected a defect where the "Transfer to the Center Information System (CIS) is in-progress" banner was displaying on all center-assigned cases, including those not actively undergoing a CIS transfer. The banner now only appears during an active transfer; once the JCDC Enrollment ID is available, the Center Status value is displayed correctly.
Health Questionnaire Refinements
- Health Questionnaire UI Corrections: Case History events for "Health Questionnaire Submitted from Portal" now correctly display the applicant's full name.
- ETA 653 "Submitted to E-Folder" Document Status: Corrected a defect where cases assigned to a center no longer displayed the "Submitted to E-Folder" status for the Health Questionnaire (ETA 653) document. The document status now correctly reflects submission to e-Folder for all applicable cases.
Minor Fixes and Updates
- Document Conversion Resilience: Enhanced the document-to-PDF conversion process to handle conversion failures gracefully. If a document fails conversion (e.g., a .docx SSN document), the system now bypasses re-conversion on the next attempt so users can still access the document without interruption.
- AR Search View — Read-Only Enforcement: Cases visible in an AR's Search view that are not assigned to that AR are now enforced as read-only. The Actions dropdown is not available for unassigned cases, preventing unintended edits.
- Email Notification Address Correction: Email notifications are now routed to a user's designated email address rather than their username-derived address. This resolves an issue for USDA users who log in with a JobCorps.org account but require notifications sent to their USDA.gov address.
- Document Comments on Agreements: Resolved a defect where comments entered on agreement-type documents could not be saved. Users can now successfully save comments on any document classified as an agreement.
- Performance Optimizations: Updated the eligibility status determination rule to query the eligibility records directly improving case load performance. Updated the default paging limit for the Case History query from an unbounded value to 500 records to reduce production performance impact.
