Applicant File Review (AFR) — Regional Review Enhancements
- RDC Document Upload in the Wellness Tab: Regional Disability Coordinators can now upload regional documents directly to a case from the AFR (Wellness) page sections. Using the same “Add Regional Document” pattern available to the RHS and Regional Director, the RDC can attach the Regional Office File Review Form and other supporting documentation that captures their administrative and compliance review before routing the case to the RHS or Regional Director.
- RHS Alerts Now Driven by RDC Assignment: The Regional Health Specialist now receives an in-app alert and email notification only after a Regional Disability Coordinator explicitly assigns a case to them. RHS users no longer receive a notification simply because regional review was requested at a center, aligning notifications with the correct regional review sequence — RDC review first, then RHS assignment
Admissions and Case Workflow Enhancements
- Training Program and Center Updates for Returned Cases: Admissions staff can now update the training program and assigned center on cases that have been returned to admissions for that purpose. The previous “Center Status” check that blocked these updates on center-assigned cases has been removed, so a case returned specifically to revise its training program or center can be corrected without obstruction.
- Updated Milestone Filter Dropdowns: The milestone filter dropdowns on the Admin Case Search, the Applicant tab of the Home View, and the Update Milestone admin action now display the current, valid list of milestone values. This ensures staff filter and update cases using an accurate and consistent set of milestones across Gateway.
Pending Arrival Report
- Redesigned Pending Arrival Report: The Pending Arrival Report has been redesigned to serve both center and admissions staff. It tracks open, JCDC-submitted cases from the “Center Assigned” milestone through “Pending Arrival,” excluding terminal cases. All users see the same columns and filters, with the case population automatically scoped to their role — ARs see their assigned cases, OAMs and CORs see their admissions provider’s cases, and CRMs and HWRs see cases assigned to their center. New columns include Urgency, Anticipated Arrival Date, Days Since Center Assignment, and Screener Code, and the report can be exported to Excel.
Screener Codes
- Screener Codes Loaded by Organization: Screener codes have been loaded into Gateway and associated with their respective organizations through a database, configuration, and record update. This establishes the underlying screener code data so it can be referenced and surfaced throughout the application.
- Screener Code Displayed in the Enrollment Tab: The Enrollment tab now displays the Screener Code in the column next to the Student ID within the Student Information section, giving Center Records Managers quick visibility into the screener code for each case.
Health Questionnaire
- Health Questionnaire Submission Lock After QA Review: Gateway now notifies the Portal to lock the Health Questionnaire once a case reaches QA Review or any subsequent milestone, or once the case has been submitted to a center. This prevents an applicant from changing critical health information while the application is in final admissions review or Applicant File Review. The questionnaire remains submittable from Portal only during the active admissions milestones, and an AR can still unlock a previously submitted questionnaire if the applicant needs to update it.
Withdrawal Reasons
- Withdrawal Reason and Applicant Notification: When an Admissions Representative withdraws an application, Gateway now prompts for a withdrawal reason selected from a standardized picklist

Health Questionnaire
- Health Questionnaire Card Hidden or Disabled After QA Review: In coordination with the Gateway submission lock, the Portal Health Questionnaire task card is now hidden when no questionnaire was ever submitted by the applicant, and disabled when a questionnaire was previously submitted, once the case reaches QA Review or a later milestone.
