Gateway New Features & System Updates

  • JACS Real-time Background Check (BC) Integration
    • Automated Correction Tasks: The system now automatically generates a "Background Check Correction" task when JACS returns a status of "Corrections Needed" for a case’s background check. Tasks are assigned to the primary Admissions Counselor (AR) and must be completed within 48 hours.
    • OAM Verification Workflow: A new "Verified" checkbox has been added to Background Check Correction tasks. Only OA Managers (OAM) can check this box, ensuring a "second pair of eyes" review before corrections are resubmitted to JACS
    • Background Check Submission Safeguards: The "Request Background Check" button on Eligibility Criteria 4 (EC4) is now disabled if there are open "Not Started" or "In Progress" correction tasks.
    • Improved Resubmission Logic: When a background check is "Rejected," the system now allows users to resubmit, which creates a new record and unique Tracking Number while marking the previous record as deleted to prevent duplicates.
  • Preferred Name Consistency: Automated emails and Communication Log entries have been updated to consistently use an applicant's "Preferred Name" rather than their legal first name.
  • Minor Fixes and updates
    • TIN/SSN Payload Correction: Fixed an issue where Taxpayer Identification Numbers (TIN) were incorrectly populated into SSN fields in the Kafka payload; the system now correctly identifies "SSN Available" as "N" when a TIN is used.
    • Readmission History Updates: Resolved a blocker when updating a TIN via "Edit Application" failed to trigger a fresh history check, preventing users from proceeding at EC4.
    • Military Status Display Logic: Fixed a bug where "Active Duty" applicants were still being asked if they served more than 180 days in the "Edit Application" view.
    • Privacy Act Capitalization: Corrected a branding error where "job Corps" was displayed with a lowercase "j." It now correctly displays as Job Corps.
    • Document Conversion & Downloads: Addressed an error that happened when uploading .doc files. Although .doc files still don’t show a preview, they can now be downloaded successfully from Gateway.
    • Amazon SES Integration: The Portal system has transitioned to Amazon SES for email delivery, requiring new, standardized lower-case email addresses for portal communications
