Outreach and Admissions

Obtaining Parent/Guardian Digital Signatures is part of the Automated Workflow
Agreements requiring parent or guardian signature are now automated in Portal and routed directly to the identified signatory using AdobeSign. When a minor applicant submits an application, they can designate a parent or guardian and automatically trigger a digital signature request with the required agreements. Admission Staff can access the signed documents in the Document Center and may also remind/resend the request to the parent or guardian if needed. 

New and Improved Background Check page
You’ll see a new standalone Background Check page, which makes it easier for you to manage every step of the background check process. With a streamlined layout, you can quickly view the status of the prerequisite checklist items before submitting background check requests, resubmissions, and corrections in one convenient location.

The background check page displays historical background check records, giving you greater visibility when handling applicants that were reassigned from another center, reapplying, or undergoing readmissions. Additionally, the integration between MyJobCorps and the JACS system is updated so JACS users can view identity documents that were uploaded in MyJobCorps, decreasing the time to retrieve documents and resolve background check corrections. Designed to simplify your workflow and improve efficiency, the enhanced Background Check page helps you manage background check activities faster and with fewer steps.

Verifying and Updating SSNs/TINs just got easier
The Actions menu now includes options to verify and update an applicant’s SSN or TIN from anywhere in a case instead of navigating to the Document Center to perform these actions and editing within the Application page. The verification and update SSN/TIN page displays the applicant’s uploaded document, which is now limited to social security card or W-2 as acceptable proof in MyJobCorps Portal so you are verifying information from the intended document.  If or when the SSN/TIN is updated, you must re-run the readmissions check and re-submit the background check request (required) on the new Background Check page. 

Improved Communications when Applications go Inactive or are Withdrawn
Applicants will now receive notifications in the Portal and by email whenever their application is withdrawn or becomes inactive.

New Proof of Identity Category in the Document Center 
You’ll now see documents that were previously in the Proof of Age and Proof of Residency category in a new consolidated category titled Proof of Identity. The consolidated category provides a view of all the associated identity documents in one area, streamlining your document review when assessing eligibility for criterions 1, 2, and 3. 

Center Enrollments

AFR Tracking Log is No Longer Manual
An automated AFR Tracking Log is now available on the Reporting page. This is automatically prefilled with the required Job Corps reporting data. The report will display the cases undergoing center-based AFR review and enable real-time monitoring of case progress which is exportable to excel. Note: You may need to supplement the prefilled data for some cases to meet all PRH requirements. 

New Enhancements Boosting the AFR Process 
With center assignments and enrollments in full swing for Applicant File Review, you’ll now see enhanced improvements in Gateway, including:

  • Health and Wellness Reviewers now see disability documents on the Wellness tab to assist in their reviews. They also have access to a new Pending Arrival report view that includes new filters so they can customize the report.
  • OA Managers can now reassign a returned case to a different center, which will automatically reset the AFR workflow. 
  • Regional Office staff can now see a new Return to Coordinator action on the Regional Decision screen, improving the health review process. 
  • Regional Health Specialists can reassign a case to another RHS instead of relying on the Regional Disability Coordinator to perform this action.

User Experience Improvements for All Users

Improvements to your Home View, Document Center, and Reports
You'll notice improvements in your Home view, Communications Log, and Document Center that will make navigation more intuitive and improve overall usability. We've also enhanced your reports by adding new filter options, giving you greater flexibility to customize reports and focus on the information that matters most.
